做外貿(mào)英語不好該如何應付?
不知道連粉們有沒有這樣的經(jīng)歷, 國外買家打電話過來聽不太懂他在講什么, 自己也沒有適當?shù)脑拺獙? 電話完了后還不知道是誰?墒亲鳛闃I(yè)務(wù)員英語不好,一是會讓買家覺得你不夠?qū)I(yè), 對你公司大小規(guī)格產(chǎn)生一定負面影響,二是很可能錯失一個合作機會。不過阿連聽銷售部的同事說,特別是遇到口音比較重的印度口音,他也是有法子應對滴,以下是阿連整理的幾點:
1、在看到有+19...電話時, 第一時間準備好紙筆, 方便記錄。
2、接聽后, 禮貌地問候“Hello”,然后通常他會首先說他要找誰, 你聽到你的名字就說 “This is xxx speaking” (禮節(jié)性問候, 表示出親切友好, 并確認他沒找錯人)。
3、接下來他會連續(xù)性地講他要說的話, 這個時候很可能你沒有思想準備或者尚未進入狀態(tài)。那么你最好將他引導按照你的提問方式來回答, 而不是敘述。你可以等他講完一句時馬上插進去說: “Excuse me, who is that speaking?” 他會回答你名字, 你記下來, 然后問他 “Where are you from, please?” 知道他是哪國人。然后問他 “What is the matter with you?” 然后他會說關(guān)于哪方面的, 通常打電話過來的都是最近和你電郵聯(lián)系過的, 極少是新客人。
如果名字和國家你能想起或者馬上在郵箱查找出是和你聯(lián)系過的, 你就能馬上知道他會講哪方面問題啦, 如果想不起來, 那就聽他講一下是關(guān)于哪個問題的, 如果你聽到了, 但是不太明白講的什么, 你重復他的話給他聽, 那他會對你說的表示“YES”或 “NO” 然后你再繼續(xù)提問。
4、再你判斷出你是否能夠了解他說的, 如果可以繼續(xù),如果不可以你就說:“I understand what you said, but could you send an email to me to confirm, please?” 然后問他是否知道郵箱地址,不知道你就告訴他,請他發(fā)過來。(這個其實也是不懂裝一下懂,如果你聽不懂不要不停地說“NO, I don’t know”或否定的詞, 你就聽, 然后要求他發(fā)郵件。目的當然是郵件能夠看得更清楚他要表達的,也是避免客人流失。)
5、如果通過國名、人名沒找到相關(guān)郵件, 問一句他是否先前有發(fā)過郵件給你,然后注意聽 “YES”還是 “NO”,這個是方便查找, 即使當時沒找到, 現(xiàn)在找到他的郵件也不遲, 回復時不要忘記加上一句 “Thanks for your calling.”
6、最后要說上一句“Glad to speak with you, good bye.” (最后是禮節(jié)性的了)
有了以上幾點小招數(shù),就算你的外貿(mào)英語馬馬虎虎,也能自如應付外國客戶啦!當然最好的辦法就是不斷地提高自己的口語水平了,畢竟遇到一些復雜的問題需要溝通不是單靠一些小捷徑就能解決的,捷徑只能幫你一時啦。
Have you ever found yourself in a situation that you don’t know how to answer it because you don’t understand his words when the foreign buyer calls you, even you don’t know who is it after hanging up. But as a salesman with poor English, it makes your customers feel you are unprofessional and makes a negative affect to your company, on the other hand, it’s likely to miss a chance to cooperate with each other. Luckily, I learned from some sales colleagues that there are some ways to deal with this situation, especially for heavy Indian accent. Here are some methods:
1. When seeing the phone number beginning with +19......, get your pens and pages ready at once for the record.
2. When answering it, greet him with courtesy saying “Hello”. Usually, he will tell you whom he is calling to at first. When hearing your name, please say “This is xxx speaking” (a mere formality, not only shows your nice, but also confirms he isn’t barking up the wrong tree).
3. Next, he will say all his words uninterruptedly, but you probably have not prepared well or not yet slipped into place at this moment. So you had better guide him to answer your questions, rather than narration. You can interject “Excuse me, who is that speaking” when he ended a sentence. In usual, he tells you his name, and you need to write it down quickly then ask “Where are you from, please”. After knowing his nationality, you can said “What is the matter with you”. Then he tells the specific aspect. In general, most of them contact with you in recent by phone or email, rarely new customers.
If you are able to think of the matter through his name as well as nationality, or you know he has contacted with you before by email, you could understand his problem immediately. If you can not think it of, you could listen to him carefully. But if you still barely understand what he said, it’s best for you to repeat his words, and he will say “Yes” or “No”, then you could continue to ask him.
4. Then judge whether you understand his words or not, if you can, you could continue. If not, you could say “I understand what you said, but could you send an email to me to confirm, please”. And you should ask if he know your e-mail address, if not, you need to tell him and ask for an email. (Indeed, you had better pretend to know, and don’t always say “No, I don’t know” or other privative. You just listen, and then ask him to send an email to you. The ultimate goal, of course, is to understand clearly his problem by email, moreover, to avoid the losing customer.)
5. If you still can’t find the related emails through country name as well as customer name, you could ask “Have you sent the email to me before”. Pay attention to “Yes” or “No”, convenient for check.
Even if you can find it at that moment, it’s not too late to find his email. Remember to add “Thanks for your calling.” when replying his email.
6. Finally, you should say “Glad to speak with you, good bye”. (It’s also a mere formality) With the help of these tips, even if your oral English is not good, you could also deal with the foreign customers well! There is no doubt that the best way is to constantly improve your spoken English. After all, it can not be solved only by a few shortcuts when coming with complications, because the shortcuts can only help you tide over the most pressing need temporarily.
